Faculty grade book storage and access procedures*

 

1.   Maintenance and storage of grade books and/or records is a faculty responsibility.

 

2.   If planning to be away from the college for more than one quarter, the faculty member is required to leave their grade books or records (or complete set of copies) associated with classes at the college with their assigned instructional division.  Any reasonable method of making these items available is acceptable.

 

3.   Upon separation from the college on a permanent basis, the faculty member is required to leave their grade books or records (or complete set of copies) associated with classes at the college with their assigned instructional division.

 

4.   It is recommended that faculty retain their grade books or records a minimum of two years to accommodate Policy 5035 (Student Grievance Procedures – Academic Evaluation).
