Course Reserve Guidelines for Faculty
Library-owned materials or instructors' personal copies may be placed on reserve at the Library Circulation and Media Desk, phone: 206-546-4556 or 206-546-4529 or by filling out a Reserve request form: print materials or media items (DVDs, CDs, etc).

Allow 24-48 hours for processing traditional formats; allow more time at the beginning of the quarter. Requests will be processed in the order received. Personal items will be returned at the end of the indicated time by way of campus mail. The library cannot assume responsibility for loss or damage of personal copies.

Items placed on library reserve function as an extension of classroom readings. As such, copyright law and guidelines which apply to the distribution of materials in a formal classroom are applicable. Copyright law (Title 17 U.S. Code [link]) governs the making of photocopies or other reproductions of copyrighted material. Copies for reserve use must be made in compliance with the " fair use" provisions of Section 107 of the US Copyright law. Faculty are responsible for complying with copyright law for items they place on reserve in the library. The library will not place any items on reserve we know are not in compliance with copyright law.

Digital information can be placed on electronic reserve if copyright and licensing allow. Electronic reserves can take the form of existing digital documents (pdf, Word, Excel, etc.), scanned material, or links to internet sites, including articles in journal databases that we license. Electronic reserves that require scanning usually require more lead time (2 weeks). Contact us (206-456-4556 or email us) if you are interested.

Course reserve lists are found in the online catalog. Links to electronic reserve items are contained in the record for that item. Access to copyrighted electronic reserve documents requires a course password.

The following guidelines apply to all reserves:

  • All materials placed on library reserves will be at the initiation and request of faculty for educational use by students. 
  • All materials placed on library reserves will be solely for the non-commercial, educational use of students.
  • Copied material may be placed on reserve for a given course for one quarter.  Instructors will obtain copyright permission from the copyright holder if the material is to be on reserve for more than on quarter.  the instructor will provide a copy of the permission to the library. See the Copyright pages for more information.
  • Copied material should include the following bibliographic information:
    • Title of book, periodical or newspaper
    • Author of the work
    • Date of publication/publisher
  • We will add a notice of copyright protection to copies materials that reads: "This material protected by copyright law (Title 17, United States Code).  For print material this notice must appear on the first page of the portion of material duplicated; for electronic reserves, on the viewing screen of the library catalog e-reserves display.  Media items will also receive a copyright notice label.

Examples of materials that do not require copyright permission:

  • A book chapter on reserve for one quarter only;
  • An article from a journal, periodical or newspaper on reserve for one quarter only;
  • An entire short story, short essay or short poem, whether or not from a collection work;
  • A chart, graph, diagram, drawing, cartoon or picture from a book, periodical, or newspaper.
  • Government documents which are in the public domain
  • Lecture notes;
  • Homework assignments.

Examples of materials that do require copyright permission:

  • Material described above which the instructor intends to have on reserve for more than one quarter.
  • "Consumables," such as workbooks, exercises, standardized tests, test booklets and answer sheets.
  • More than one chapter of a book or more than one selection from a collection;
  • More than one article from one magazine, journal or newspaper issue;
  • Anthologies, compilations or collective works created by photocopying material.
  • Student works. Written permission must be obtained. Permission form .doc or .pdf

To place materials on reserve:

  • Submit a reserve request form, available at the library's circulation counter or available as a downloadable Word document: print items or media items (DVDs, CDs, etc).
  • Bring any items to the library's circulation counter and the printed request form.
